FAQS

    Frequently Asked Questions

Everything venues, festivals and event organisers ask us about Where You At (WYA) FlexNet: crowd intelligence, commercial value, safety, privacy and deployment.

    Crowd Analytics Basics

    What is crowd analytics?

Crowd analytics is the measurement of how people move through, gather in and queue at an event or venue - flow, density, dwell time and queue length - so operators can act on it live and prove it afterwards. Where You At (WYA) measures all of this anonymously, without relying on cellular signal or the venue's own Wi-Fi.

    What is crowd intelligence?

Crowd intelligence is crowd analytics turned into a live operational picture - not just data, but the dashboard, alerts and staff dot-plan that let an operations team act on it in the moment, rather than reviewing it after the event.

How can I increase spend per head (SPH) at my festival?

The fastest wins are usually invisible until they're measured: imbalances between identical bars, walkaways at queues nobody was tracking, and F&B or merchandise placed on instinct rather than evidence. Crowd analytics surfaces all three, and lets you redirect demand in real time rather than just report on it afterwards.

How can crowd analytics improve festival ROI?

It improves all three drivers of ROI at once: more revenue (verified sponsor engagement data supports renewals and higher rates), lower cost (staff deployed against real crowd density instead of a rota guess), and less risk (an evidenced occupancy picture for safety teams and licensing authorities).

    What is queue analytics?

Queue analytics is live measurement of wait times at bars, food stalls, toilets or entry points, used both to redirect attendees toward shorter queues and to show operators exactly where and when they're losing spend to walkaways.

How does crowd density monitoring improve event safety?

Live, anonymous density data shows a dangerous build-up forming before it becomes visible to a steward on the ground, giving safety teams time to reroute people or redeploy staff rather than reacting after the fact.

What's the difference between crowd analytics and CCTV or people-counting?

CCTV and simple people-counters tell you how many people passed a fixed point. Crowd analytics from Where You At (WYA) tracks flow, density and dwell across an entire site in real time, anonymously, and works even where cellular and Wi-Fi fail under load - which is exactly when a fixed camera count is least useful.

About Where You At (WYA) & FlexNet

What is Where You At (WYA) and what does it do for venues and events?

Where You At (WYA) is a crowd intelligence platform for venues, festivals and live events. Our core technology, FlexNet, is a patented Bluetooth-mesh sensor network that tracks crowd density, movement and dwell time in near real time, without requiring attendees to download an app or carry a device. It gives operators, organisers and their commercial partners live visibility into what's actually happening on site, along with the data to act on it.

How is Where You At (WYA) different from tracking crowds through WiFi or mobile network data?

FlexNet is a dedicated, independent network that does not rely on cellular signal or venue WiFi. At high-density events, both cellular and WiFi performance typically degrade or fail at exactly the moments organisers need visibility most. FlexNet's performance is unaffected by crowd density, so it keeps working when the mobile network doesn't.

Does Where You At (WYA) require attendees to download an app or wear a device?

No. FlexNet's core crowd-sensing runs passively, with no app or wearable required from attendees. Where a venue already has an event app or issues wristbands, Where You At (WYA) can integrate with those to add features like offline messaging and people-finding, but that integration is optional, not a requirement for the core analytics.

    Revenue & Commercial Value

How can crowd data increase revenue at a festival, stadium or exhibition venue?

The most common commercial gains come from three places: placing F&B, retail and merchandise where the data shows attendees actually spend time, so more of them buy something (increasing spend per head); giving sponsors and exhibitors verified footfall and dwell-time evidence instead of estimated numbers, which supports premium pricing and improves renewal and rebook rates; and pricing prime locations, such as exhibition stands or concession pitches, on real, measured footfall rather than guesswork.

Can this data help us prove ROI to sponsors and exhibitors?

Yes. Rather than relying on estimated eyeballs, Where You At (WYA) measures actual dwell time and engagement at a sponsor activation or exhibition stand, and that data can be packaged into sponsor-facing reports. Some venues have also turned the same data into a new revenue stream in its own right, selling crowd analytics as a paid product to exhibitors and sponsors.

We suspect some areas of our venue underperform others commercially – can that be proven?

Yes. In one recent single-day analysis of a UK exhibition venue, Where You At (WYA)'s data showed one half of the exhibition floor consistently underperforming the other by 25–30% throughout the day – a gap that had gone unnoticed until it was measured. That kind of asymmetry is common, and it directly affects both exhibitor retention and how those spaces should be priced.

    Safety & Operations

Can crowd monitoring technology improve safety at large events?

Yes. Near real-time density monitoring flags dangerous crowd build-ups – at entrances, bars, or other pinch points – before they become incidents, giving operations teams time to respond rather than react. It also shows exactly where every steward or staff member is, so teams can be redeployed to where they're actually needed as a situation develops.

How does this reduce staffing costs?

Live staff-location data, combined with live crowd-density data, lets operators see where they're over-staffed in quiet zones and under-staffed in high-traffic ones, and rebalance in real time rather than relying on a fixed rota. Post-event, the same data supports smarter staffing plans for future events at the same venue.

    Attendee Experience

How can we stop attendees getting lost or separated at large outdoor events?

Where a venue's wristband or event app is integrated with FlexNet, attendees can find each other and navigate the site even when cellular signal has collapsed.

    Data, Privacy & Technology

Is Where You At (WYA)'s crowd-monitoring data anonymous and GDPR-compliant?

Yes. FlexNet is built to be anonymous by design – the crowd data it produces is aggregate and does not identify individuals. It is GDPR-compliant and covered by a UK patent (GB2297067).

Does Where You At (WYA) work as a permanent installation, or only for one-off events?

Both. FlexNet can be deployed as a temporary setup for a single event, such as a festival weekend or one-off tournament, or as a permanent, always-on platform for a venue that wants continuous, year-round visibility across every event it hosts.

    How long does deployment take?

Deployment is quick and unobtrusive. FlexNet needs no fixed infrastructure, so most sites can be up and running in a matter of days rather than weeks, whether it's a one-off event or a permanent venue installation.

Can Where You At (WYA) integrate with our existing event app or ticketing platform?

Yes. FlexNet is designed to integrate with an existing event app or with venue wristbands, extending coverage and adding features such as navigation and people-finding on top of the core crowd analytics.

    Fit & Getting Started

What types of venues and events does Where You At (WYA) work with?

Where You At (WYA) works across three main venue types: festivals and outdoor live events, conference and exhibition venues (including trade shows), and stadiums and arenas. We've deployed at major festivals, arenas and exhibition venues across the UK, as well as international sporting and conference events.

What does Where You At (WYA) cost to deploy?

Cost depends on venue size, deployment type (temporary or permanent) and scope, so we price each venue individually rather than offering a single flat rate. Get in touch and we'll put together a tailored quote.

How do we find out what this would look like for our venue?

The best next step is a short conversation, typically around 30 minutes, to look at your venue layout, upcoming events, and where the data would deliver the most value, commercially and operationally.
